Housekeeping
Hotel & Rooms is an add-on. See What's included, and what's an add-on.
What this is for
Turning "that room needs doing" into a task with a room, a date, a person and a status.
It's what connects the room status board to the people actually doing the work — and what stops a room being sold before it's clean.
Tasks created for you
When a guest checks out, a housekeeping task is created automatically and the room goes to vacant dirty. Those tasks are marked auto created after checkout.
That's the backbone of a changeover day. Nobody has to remember to raise the work; the departure raises it.
Adding a task yourself
Hotel › Housekeeping › Add Task:
| Field | Notes |
|---|---|
| Room | Which room. |
| Task Date | When it should be done. |
| Task Type | The kind of work. |
| Assign To | A staff member, or leave Unassigned. |
| Notes | Anything specific. |
Add tasks manually for anything that isn't a checkout: a deep clean, a stayover service, a linen change, a room being prepared after maintenance.
Working the list
The list shows date, room, type, assigned staff and status. Search by room number, filter by status and by room.
- Assign work to people at the start of a shift.
- Complete a task when the room is done. It asks for confirmation.
- Edit to reassign or change the date.
Unassigned tasks show as such. An unassigned task on a changeover morning is a room nobody is cleaning.
Marking a room clean
Completing the task is the record that the work was done. The room's status is what makes it sellable again — see Room types and rooms.
Keep those two in step. A completed task with the room still showing dirty means the front desk won't sell a room that's ready; a clean status with the work not done is much worse.
A changeover-day routine
Early
- Read today's departures on the front desk dashboard.
- Check the room status board — how many dirty, how many clean.
- Assign tasks to your team, front-loading the rooms with arrivals due first.
Through the day
- Complete tasks as rooms are finished, not in a batch at the end.
- Update room statuses as you go.
- Raise a task, or set the room out of order, for anything found broken.
Before check-in time
- Is there a clean room for every arrival?
- Anything still outstanding gets prioritised or the arrival gets moved.
Getting the most out of it
- Assign by floor or section, so nobody crosses the building repeatedly.
- Prioritise rooms with arrivals due. A departure with no arrival can wait until the afternoon.
- Use notes for anything specific — a stain, a broken lamp, extra towels requested.
- Raise a task for faults, and set the room out of order. A note nobody acts on isn't a fault report.
Good to know
- Housekeeping tasks are per branch.
- Complete Hotel Housekeeping Task is separate from creating and updating them, so cleaning staff can complete work without being able to reassign it. See What each role can do.
- Deleting a task removes the record. Complete it instead — the history is what tells you how long changeovers actually take.
- Task types are yours to define around how your property works.
